Privacy notice

Last updated: 21 October 2026.

Ember is a trading name of PixelArc Ventures Ltd, registered in England and Wales, company number 16305788. We are responsible for personal information collected through this website and enquiries about Ember.

What we collect and why

If you contact us or book an audit, we receive the information you choose to provide, such as your name, business email, store URL and enquiry. We use it to answer you, assess whether our service is suitable and arrange your audit. Our lawful basis is taking steps at your request before a contract, or our legitimate interest in responding to business enquiries.

Website data and cookies

Fonts and artwork are served with the site, and there are no advertising cookies or embedded booking widgets. Our hosting provider, Microsoft Azure, may process technical request data such as IP addresses and security logs to deliver and protect the website.

If you choose Accept in the cookie banner, we use Google Analytics to understand how the site is used: pages viewed, how you arrived, approximate location (country and city), and device and browser type. It sets first-party cookies named _ga and _ga_EX72F4G5B0, which last up to two years. Google Analytics doesn’t store IP addresses, and we don’t use it for advertising. Google processes this data on our behalf, and our lawful basis is your consent. We keep analytics data for up to 14 months.

If you choose No thanks, or don’t choose, Google Analytics isn’t loaded and no analytics cookies are set. Your browser remembers your choice so we don’t ask again. You can change it at any time with Cookie settings at the foot of every page. Withdrawing consent deletes the analytics cookies.

Your audit and account access

We request permission before accessing your marketing account. Please do not send private API keys by email. If an audit requires customer or marketing data, we agree the scope and appropriate data-processing arrangements before access. You retain control of your account and can revoke access.

Service providers and retention

We use Microsoft Azure for hosting, Google Workspace for business email and appointment booking, and, if you consent, Google Analytics for website statistics. Our booking link opens Google Calendar, where Google's Privacy Policy and Terms of Service also apply. These providers may process data outside the UK using their applicable contractual safeguards. We retain enquiry information only as long as needed for the enquiry and any resulting business relationship, and review inactive enquiries for deletion after 12 months unless a legal obligation requires otherwise.

Your rights

You can ask to access, correct or erase your information, restrict or object to processing, or receive a portable copy where applicable. Contact matt@useember.co.uk. You can also complain to the UK Information Commissioner’s Office at ico.org.uk.
